This policy explains what personal information we collect through rayadvertising.a2hosted.com and in the course of our client work, why we collect it, and the choices you have.
1. Who we are
Rayfield Advertising Group (“Rayfield”, “we”, “us”) is a sole proprietorship owned by George Thompson, located at 1864 Lindale Avenue, Oakland, California 94607, United States. 2. Information we collect
2.1 Information you give us
- Enquiry details: name, company, work email, telephone number, the service you are interested in, your indicated budget range and the message you write.
- Client records: if you become a client, contract details, billing contacts, purchase orders and correspondence.
- Recruitment: if you apply for a role, the CV and details you send by email.
2.2 Information collected automatically
- Server logs: our hosting provider records IP address, browser user agent, requested URL, referrer and timestamp for security and troubleshooting. These logs are retained for up to 30 days.
- Analytics: only if you accept optional cookies. We collect aggregate page views, approximate region (city level), device type and referral source. We do not use analytics to build advertising profiles of visitors to this website.
2.3 Information we do not collect
We do not knowingly collect information from children under 16. We do not collect payment card details through this website; client invoices are settled by ACH or check. We do not collect biometric data, precise geolocation, or special categories of personal information about website visitors.
3. Why we use your information
- To answer your enquiry and prepare a proposal (our legitimate interest in responding to a request you initiated).
- To deliver services under a contract and to invoice for them.
- To keep the website secure and diagnose faults.
- To understand which pages are useful, where you have consented to analytics cookies.
- To meet legal, tax and accounting obligations in the United States.
4. How we share information
We do not sell personal information and we do not share it for cross-context behavioural advertising. We disclose information only to:
- Service providers acting on our instructions: our web host, our email provider, our accounting software and, where a client engagement requires it, advertising and analytics platforms operated within your own accounts.
- Professional advisers such as our accountant or legal counsel, under confidentiality.
- Authorities, where we are legally required to do so, or to protect our rights.
5. Client campaign data
When we manage advertising for a client, we work inside accounts owned by that client. The client remains the controller of any end-user data collected through those campaigns; we act on their instructions. We do not export, resell or reuse client audience data for any other client. For healthcare clients we configure tracking so that no patient health information is transmitted to advertising platforms.
6. Retention
- Unsuccessful enquiries: deleted within 24 months.
- Client contracts and invoices: retained seven years to meet tax and accounting requirements.
- Server logs: up to 30 days.
- Analytics data: 14 months maximum.
7. Your rights
California residents (CCPA/CPRA). You have the right to know what personal information we hold, to request its deletion, to request correction, to obtain a portable copy, and not to be discriminated against for exercising those rights. Because we do not sell or share personal information for cross-context behavioural advertising, there is no “Do Not Sell or Share” process to complete — but you may still contact us with any question about it.
Other jurisdictions. If you contact us from outside the United States, we will honour equivalent access, correction, deletion and objection requests where the law provides them.
To exercise any right, email legal@rayadvertising.a2hosted.com with the subject line “Privacy request”. We verify identity by replying to the email address on record and respond within 45 days. An authorised agent may submit a request with written permission from you.
8. Security
The website is served over HTTPS. Access to enquiry email and client records is limited to staff who need it, protected by multi-factor authentication, and reviewed annually. No system is perfectly secure; if a breach affects your personal information we will notify you and the relevant authorities as required by California law.
9. International transfers
Our systems are hosted in the United States. If you contact us from outside the U.S., your information will be transferred to and processed in the United States.
10. Third-party links
This website links to advertising platform documentation and, occasionally, to client websites. We are not responsible for the privacy practices of those sites and encourage you to read their policies.
11. Changes to this policy
We update this policy when our practices change. The “last updated” date at the top always reflects the current version. Material changes will be announced on this page for at least 30 days.
